Job Description

Our IT department is at the heart of Agility’s operations that have made it a digital leader in logistics encompassing emerging markets, sustainability and tech-enabled logistics solutions. We use agile methodologies to develop, evaluate, test, and deploy the advanced solutions that give Agility businesses and customers a competitive advantage.

The role in brief:

You will be responsible for ensuring smooth running of the Office of the CIO and your role intends from administrative and coordination to advisory and strategic guidance.

Functional

Finance (globally for Corporate IT)

  • IT Budgeting amp; process all payments
  • Financial Analysis and reports (Budget Vs Expenditure)
  • Reconciliation of Oracle and System 21 reports.
  • Reconcile Charge backs to various Business units
  • IT procurement and payment against procurement
  • Works with Agility Finance department to ensure proper accounting of and for Corporate IT budget
  • Work closely with the Project Management Office and Vendor management team

Administrative (for Kuwait-based staff only)

  • Manage CIO Office administrative staff and ensure prompt and professional execution of their duties
  • Coordinate office allocation
  • Organize office operations and procedures
  • Design and implement office policies and procedures where necessary
  • Process all Admin-related applications for Corporate IT staff
  • Oversee schedule, tasks and utilization of messengers and oversee use of Department Car

Human Resources (for Kuwait based staff only)

  • Arrange and oversee selection, interviews and hiring of new staff.
  • Training and development for the IT staff
  • Provide analysis and suggestions regarding various decisions in terms of compensation and benefits
  • Guide the management during the performance review process to adhere to the norms of the process to stick to the bell curve.
  • Provide orientation and security awareness training to new hires and periodic sessions to satisfy the ISO27001 Audit.
  • Manage the onboarding of Kuwait-based new employees including: laptops, phone, security badge, visas, business cards, desk, etc
  • Handle all Kuwait-based exit interviews and accompanying handovers of company equipment
  • Process all HR-related applications on system
  • Responsible for coordination of all Performance Appraisal related matters for Corporate IT
  • Run various HR-related analysis (financial, turnover rate, actual vs budget) as per CIO’s requests

Corporate Social Responsibility

  • Point of contact for the CSR department
  • Execution and active participation in CSR projects representing IT

People Management

  • Manage IT Administration staff
  • Carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. This includes (but is not limited to): interviewing, planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems

IT Security

  • Implement and act in accordance with the organization’s information security policies
  • Protect assets from unauthorized access, disclosure, modification, destruction or interference
  • Execute particular security processes or activities
  • Ensure responsibility is assigned to the individual for actions taken
  • Report security events or potential events or other security risks to the organization

General

  • Ensure all Company and Department policies, procedures and processes are followed and ensure positive service image in the user community
  • Manage multiple projects concurrently
  • Work both conceptually and hands on as needed
  • Able to juggle multiple priorities within constantly changing technical and support requirements and perform other duties as assigned.

Requirements

Your Qualifications

  • Bachelor’s Degree in Business or Management
  • HR or Finance-related certificates is preferred
  • 5-7 years of experience in related field; 2 of which included managing people
  • Experienced with Microsoft Office
  • HR and Financial budgeting experience
  • Strong verbal and written English skills
  • Ability to read, analyzes, and interprets general business procedures, manuals, or governmental regulations
  • Ability to write e-mails, business correspondence, and procedure manuals
  • Ability to effectively respond to questions from managers
  • Knowledge of Arabic a plus
